For accountants and bookkeepers
Every client’s VAT numbers checked, with proof for the auditor
Upload a client’s customer or supplier list, get back each VAT number checked against VIES, the registered name compared, and sanctions screened. Numbers you check individually come with a PDF certificate.
Sound familiar?
- Checking VAT numbers one by one on the VIES website before zero-rating or applying the reverse charge.
- No record of the check when a tax inspector asks, months later, how you knew the customer was VAT-registered.
- VIES being down for one country, and not knowing whether "unavailable" means invalid.
- Clients paying invoices to a valid VAT number that belongs to a different company.
What you get
Bulk upload
A CSV or a column pasted from Excel, up to 5,000 numbers at once. Results come back as a spreadsheet, row by row, with the client’s own references kept.
Name check and sanctions screening
Each number’s registered name is compared with the name in the file, and every company is screened against the EU, UN, UK and US OFAC sanctions lists.
A certificate for each check
For every number checked on the website or through the API, a PDF showing who was checked, when, against which registry and with what result: the evidence your file needs.
Monitoring with email alerts
Watch key customers’ VAT numbers: they’re re-checked daily, re-screened when sanctions lists change, and you’re emailed when something changes.
Reverse charge checker
Whether the reverse charge applies to an EU or UK sale, with suggested invoice wording.
Team accounts
Invite colleagues to share one account, its checks, certificates and uploads.
How it works
- Step 1
Upload the list
Any CSV export from the client’s accounting software, or paste a column. Validitool finds the VAT numbers, countries and names itself.
- Step 2
Download the results
Valid or not, registered name and address, whether the name matches, and any potential sanctions match, in one spreadsheet.
- Step 3
Keep watching
Add the client’s regular customers to monitoring and get an email if one is deregistered or appears on a sanctions list.
Which plan fits
Bulk upload is part of Growth ($29/month, 20,000 checks) and Scale ($99/month, 100,000 checks). Most practices start on Growth; a firm checking lists for many clients every month usually needs Scale. Single checks and certificates work on every plan, including the free one.
See it on real data first: email one client's supplier or customer list to scale@validitool.com and we'll send the checked spreadsheet back, free.
Questions
- Where do the results come from?
- Straight from the official sources at the moment of the check: the European Commission’s VIES (which asks each country’s tax database) and the sanctions lists published by the EU, UN, UK and US.
- What happens when VIES is down?
- The row is marked "could not check", never "invalid", and can be checked again for free in one click. Live VIES status.
- Is my clients’ data safe?
- Uploaded lists and their results are deleted after 90 days, or straight away if you delete them. See the Privacy Policy.
- Can I try it without paying?
- Yes: single checks are free (no card needed), and we’ll run one list for you on request, as above.
